Case Study: Member Information Line and Event Registration Support for a UK Association

In March 2024, BCC Telemarketing partnered with a UK-based professional association that represented thousands of members across a specialist industry. The organisation ran a busy calendar of training seminars, networking events and annual conferences designed to support professional development and industry collaboration.

As the association expanded its programme of events and member services, the volume of enquiries from members began to increase. Members were contacting the organisation with questions about event registration, membership benefits, training access and account updates. The internal team managing membership services were often balancing these enquiries alongside event planning and administration, which sometimes resulted in delayed responses during busy periods.

The association wanted to ensure members could always reach someone who could provide clear information and assistance quickly, particularly when registering for events or accessing member resources.

Launching the Member Information Line

BCC introduced a dedicated member information line in April 2024, acting as the first point of contact for members calling the association. Agents were trained on the organisation’s membership structure, upcoming events and the process for accessing member benefits.

Members contacting the line were able to receive assistance with a variety of requests, including guidance on registering for conferences or training sessions, confirming membership details and understanding the resources available through the association’s website.

Where enquiries required input from specialist departments within the organisation, BCC ensured calls were passed through with clear notes so the internal team could respond efficiently.

Supporting Event Registrations

During the months leading up to several major industry events, the information line played an important role in helping members secure their places. Many members preferred speaking to someone directly when registering for conferences or training sessions, particularly if they had questions about schedules, ticket options or attendance requirements.

BCC agents were able to guide members through the registration process and ensure their details were correctly recorded, helping the association maintain accurate attendance records for upcoming events.

Strengthening Member Communication

By late 2024, the association had a much more structured approach to managing member enquiries. Calls were answered consistently and members were able to access support quickly, improving the overall experience of interacting with the organisation.

The internal membership team also benefited from reduced administrative pressure, allowing them to focus more on developing member programmes and delivering events.

For associations with large and active member communities, reliable communication is essential. Through a dedicated member information line and structured enquiry handling, BCC helped this organisation ensure every member enquiry was answered and every opportunity to engage was captured.
