Case Study: Member Engagement and Renewal Support for a Professional Association
By BCC Telemarketing
In April 2024, BCC Telemarketing partnered with a large professional association based in the United States that represented thousands of members working across a specialist industry. The organisation provided its members with a range of benefits including professional resources, industry news, networking opportunities and access to conferences and training programmes.
Like many membership organisations, a significant portion of its annual revenue depended on membership renewals and continued engagement with its member base. While renewal reminders were already being sent through email and digital channels, the association had noticed that a number of members allowed their subscriptions to lapse simply because they had not taken the time to complete the renewal process.
The association wanted a more proactive way to reconnect with members approaching renewal and ensure they understood the value of remaining part of the organisation.
Launching the Member Renewal Campaign
BCC began supporting the association in May 2024, contacting members whose subscriptions were due to expire in the coming months. Agents introduced themselves on behalf of the organisation and reminded members of their upcoming renewal date while also discussing the benefits of maintaining membership.
Many members appreciated the personal contact, particularly when it highlighted services they had not yet fully used such as online resources, industry reports and upcoming events.
During these conversations, BCC agents were able to confirm whether the member intended to renew, update contact information where necessary and guide members towards completing the renewal process through the association’s website.
Re-engaging Lapsed Members
In addition to upcoming renewals, the campaign also included outreach to members whose subscriptions had expired within the previous year. These conversations focused on understanding why the membership had lapsed and whether the member would consider returning to the organisation.
In many cases, members explained that their lapse was simply due to workload or missing the renewal reminders. The call often served as a prompt to rejoin, particularly when agents explained new resources, events or initiatives the association had introduced since their previous membership.
Strengthening the Membership Community
Over the course of the campaign, BCC spoke with hundreds of members across the association’s database, helping the organisation gain better visibility into member intentions and engagement levels.
The outreach programme not only supported renewal activity but also strengthened the connection between the association and its members. Members were able to ask questions about upcoming events, professional resources and industry initiatives, helping reinforce the value of their membership.
Supporting Long-Term Member Retention
By late 2024, the association had a more structured approach to managing renewals and maintaining contact with its community. Rather than relying solely on automated reminders, the organisation was able to engage directly with members and ensure they felt supported and informed.
For membership organisations and professional associations, maintaining strong relationships with members is essential for long-term stability. Through structured member engagement and renewal outreach, BCC helped this association turn renewal reminders into meaningful conversations that strengthened its member community.
